Booking to registration: the pipeline nobody diagrams

Ask a sales head to draw the pipeline and you get enquiry, site visit, negotiation, booking. Ask the CRM team what actually consumes their week and you get the stretch that starts the day after booking, which nobody draws because it does not fit on a whiteboard.

What sits between booking and possession

The short version runs: booking form and token, allotment letter, KYC collection, agreement for sale, stamping and registration of the agreement, loan sanction and disbursement schedule, construction-linked demands, interest on delayed payment, change requests and extra work orders, completion and occupancy certificate, possession letter, handover snag list, final settlement, and conveyance.

Each stage has documents that must exist before the next stage can proceed, and each one is a place where a file goes missing.

Documents are states, not attachments

The common mistake is treating documents as files hung off a customer record. The useful model treats each required document as a state with an owner and a date: not collected, collected, verified, expired.

This turns the weekly review from a hunt into a filter. Show every booking where the agreement is registered but PAN is unverified. Show every unit where possession is due next month and the snag list is open.

  • A checklist per stage that blocks progression when unmet.
  • Expiry on documents that expire — sanction letters, cheques, approvals.
  • One customer file, visible to sales, CRM, finance and legal alike.
  • An audit trail of who marked what verified, and when.

Cancellations are a workflow, not a delete

Bookings cancel. The unit has to return to inventory, the money has to be refunded net of forfeiture, the brokerage may need clawing back, and the paperwork has to record all of it.

Systems that handle cancellation by deleting the booking lose the history exactly when it becomes legally interesting. Systems that model it as a reversal keep the audit trail and free the unit in the same action.

The handover is the reputation

Buyers form their lasting view of a developer during handover, not during sales. Snag lists, warranty claims and maintenance transition are the last impressions and the ones that produce referrals or reviews.

It is also the stage most likely to be run on WhatsApp. Moving it into the same record as the sale costs little and changes what the buyer tells the next buyer.
