Payroll is not a spreadsheet with rules

Every payroll vendor demonstrates the calculation. Gross to net, slabs, deductions, a payslip. It is the easiest part of the problem and the part that never goes wrong. What goes wrong is that the twenty-eighth arrives and three of the inputs are not in yet.

Payroll is an input problem

A single month's run needs attendance and leave from operations, overtime approvals from line managers, new joiners and exits from HR, loan and advance balances from finance, variable pay and incentives from whoever owns the target, and statutory changes from nobody in particular.

Four of those six arrive by email or WhatsApp in most organisations. The payroll executive becomes a collection agent, and the actual computation is twenty minutes at the end of a two-week chase.

Cut-off, lock, run — in that order

Discipline beats features here. A published cut-off date, a hard lock on attendance and variable inputs after it, and a run that reads only locked data. Anything that arrives late goes into next month as an arrear rather than reopening this month.

Organisations that adopt this find their payroll effort halves without changing software, because the reopening was the cost all along.

  • A reconciliation pack — headcount, gross, statutory, net — signed before disbursal.

Full and final is where reputations are made

The exit settlement combines notice period, leave encashment, gratuity if eligible, recovery of advances and assets, and the tax treatment of all of it. It is low volume, high emotion, and almost always done by hand.

It is also the transaction most likely to be discussed publicly by the person receiving it. Automating the arithmetic and standardising the timeline is cheap insurance on employer brand.

The payslip is a communication document

Most payroll queries are not disputes about money. They are questions about what a line means: why the professional tax changed, why this month's PF is different, what the arrear was for.

Payslips that name the reason for a variance answer those questions before they are asked, and remove the single largest category of HR helpdesk volume.
